Get meeting minutes written by AI
Teams have meetings transcribed and summarised so nobody has to take minutes any more
Fits: Leaders & strategy · Sales · Marketing & communications · Customer service · HR · Finance & accounting · Purchasing · Legal & compliance · IT & software development · Office, administration & casework · Production, engineering & maintenance · Logistics & warehousing · Research & development · Health & care · Teaching & education · Creative & media production · Field service & trades
Nobody takes notes any more, everyone stays in the conversation, and the minutes go out ten minutes after the meeting.
Is this for you?
- You have regular meetings, online or in person.
- Your video conferencing software can create transcripts, or you are allowed to use an AI assistant.
In your next online meeting, let the transcript run (after announcing it) and give it to an AI assistant with the template below. Compare the result with your own notes.
How to go about it
- Decide what goes into the minutes
- Announce the recording and start it
- Have the minutes generated
- Check against the conversation
- Send the minutes and transfer the tasks
- Make the minutes structure your standard
Templates to copy
You can try this template right away: copy it, paste it into your AI and replace everything in [square brackets] with your details.
Here is the transcript of our meeting on [date] about [topic]. Create minutes with: 1. Participants: only names that appear in the transcript; keep labels such as “Speaker 1” unchanged 2. Decisions: only what was explicitly agreed; proposals without agreement belong under open questions 3. Tasks as a table: What, Who, By when 4. Open questions Include only what is in the transcript. If responsibility or a deadline is unclear, write “open” instead of guessing. One page at most.
Why it works: The fixed structure and the ban on guessing stop the AI from inventing commitments nobody made.
