Have AI analyse spreadsheets and explain formulas

Employees analyse spreadsheets and have formulas and charts created without being Excel experts

You get answers from your lists without knowing formulas by heart. And along the way, you learn the formula you can use to recalculate the result yourself in Excel.

Is this for you?

  • You regularly work with lists such as invoices, orders, hours or budgets.
  • You know what you want to find out, but not how the formula for it works.
First step today

Take a list without names or customer numbers, such as open invoices with date, amount and status, and use the template below to get the total per month along with a matching Excel formula. Check one month by hand.

How to go about it

  1. Say exactly what you want to know
  2. Prepare the list
  3. Have the analysis and formula created
  4. Recalculate it yourself with the formula
  5. Prepare the result for your manager or team
  6. Save the analysis as a fixed template

Templates to copy

You can try this template right away: copy it, paste it into your AI and replace everything in [square brackets] with your details.

Attached is a spreadsheet with [content, e.g. invoices with date, amount and status], without names. My question: [question, e.g. What is the total of open invoices per month?]

1. First state the number of rows, the column names and how you read dates and amounts (date format DD.MM.YYYY, comma as decimal separator). If a column has empty or inconsistent values, say so before you calculate.
2. Calculate with the data analysis tool, not in your head. Give the result as a small table and a control total that can be checked against the file.
3. Give the formula I can use to recalculate this myself in Excel, for the [German or English] Excel version, with the column letters from my file, and explain it in two sentences.

Do not make any assumption silently: if it is unclear what counts (e.g. status “partly paid”), ask.

Why it works: The control total and your own formula make calculation errors and misread dates visible before you pass the figure on.
